The work is the same. What changes is that it's written down.

How a case travels

At every stop, something that lives in somebody's head today ends up in writing.

  1. Orders

    The dentist

Marks the teeth and writes the work, shade and date.

  2. Quotes

    The lab

You send back a lead time and price, with their discount applied.

  3. Produces

    The floor

Hits the board with its code and its committed date.

  4. Delivers

    Both sides

They track progress without calling. Physical items are logged.

  5. Bills

    Month-end close

The statement goes out with one button.

Where the money goes

None of these is a fabrication problem: the work comes out fine. All five are the same thing — something stayed in somebody's head instead of on paper.

  • Somebody else built the spreadsheet

Works perfectly until you have to add a new client. That's when nobody remembers how.

  • Remakes have no number

The case came back three times: twice under warranty, once because they asked for a change. All three were free.

  • The order arrives half-written

No shade, no date. You ask over chat, they answer at nine at night.

  • The statement is a screenshot

Twenty invoices by hand and a photo of the spreadsheet over chat. You get paid, but it doesn't look like a company.

  • Material went up, your price didn't

Zirconia costs something different than it did six months ago. Your price list doesn't. The margin walked out and nothing broke.

What makes Zircca different

Five decisions, not five features.

The dentist joins free and sends the case in writing

They order from their own portal: teeth on the chart, material, shade and date. You send back a lead time and a price. If something's missing, the case doesn't come in.

Unlimited dentists, free on every plan.

What goes unbilled today gets a number

Every case with its code and every remake logged with who asked for it. At month end, the statement writes itself.

With each dentist's discount, and warranties kept separate.

Looking like a lab

Work orders and statements as PDFs with your logo. The difference between sending a screenshot and sending a document.

Your own branding on the Whitelabel plan.

Physical and digital, without choosing

Scans, photos and the HTML design, inside the case. Stone models and the finished unit, logged as shipments.

Both directions, with who received them and when.

One dentist, all their labs

If they already use Zircca with another lab, they sign in with the same account and your cases show up alongside the rest.

No competitor with isolated architecture can copy this.

Before and after

Same work, same clients. What changes is where it gets written down.

  • The dentist's order

How it works today: A voice note, a photo and “urgent”

With Zircca: A form with a tooth chart

  • Adding a new client

How it works today: Remembering how you did it last time

With Zircca: A record with their discount

  • Each doctor's discount

How it works today: From memory

With Zircca: Applied automatically on every case

  • Remakes

How it works today: Done and not charged

With Zircca: Logged with a number, and charged

  • Knowing where a case stands

How it works today: Calling to ask

With Zircca: They see it in their portal

  • The statement

How it works today: A screenshot of the spreadsheet

With Zircca: A PDF with your logo

  • Month-end close

How it works today: Twenty invoices by hand

    With Zircca: One button

Frequently asked questions

What is dental lab management software?

Dental lab management software is a platform that centralizes the dentist's order, the case's progress through production, scanner files, the pricing agreed with each client, and billing. It replaces the mix of chat apps, email and spreadsheets most labs run on.

How much does Zircca cost?

Zircca starts at $18 per month on the Freelancer plan, $32 on the Lab plan and $45 on Whitelabel, with no setup fee. All three include unlimited dentists at no cost and a 14-day trial with no card.

Do dentists pay to use the portal?

No. Dentists are free and unlimited on every Zircca plan. They are the lab's clients, not software users: charging them would work against the very thing that grows the lab.

Is it useful if I'm a solo dental technician?

Yes, and that is exactly who the Freelancer plan was built for. One user, unlimited cases, the dentist portal, planning video, work orders and statements as PDFs with your logo, and a spreadsheet importer. Most software in this trade is built for labs with staff and feels like it; a technician working alone needs the same things, without administering a system.

Does it work if I use physical models and not only digital cases?

Yes. Zircca logs physical shipments in both directions — stone models, pins, the finished unit — with what is traveling, which courier, when it left, and who confirmed receipt. The dentist confirms from their portal. The digital side (scans, photos, HTML design) lives alongside it in the same case, without forcing the lab to go fully digital to use the tool.

Can I bring over the cases I have in a spreadsheet?

Yes. Zircca imports .xlsx and .csv files with manual column mapping: you say which column of your sheet is which field, and before writing anything the app shows how many cases will come in, which ones are being dropped, and why. Dentists in the sheet who don't exist yet are created as records ready to invite, each with their discount.

How do I know what each unit actually costs me?

By pairing inventory with the price list. Every material has its unit cost and every type of work its recipe: what a unit consumes and how much. With automatic pricing on, the sale price comes from cost plus the margin you set, so when a zirconia disc goes up the price list updates instead of sitting at last year's price. Cases already issued are untouched: their price was frozen when they were created.

Does it work on a phone?

Yes. Zircca runs in the browser on a computer, phone or tablet, with nothing to install. The board drags with a finger and the tooth chart is tapped directly, because almost nobody on a lab floor works sitting at a desk.

What happens to files and patient data?

Files live in private storage and open through temporary links, never public ones. Each lab sees only its own data, and that separation is enforced in the database, not just on screen. Zircca is not a clinical record: the lab sees the patient's initials, which is what fabrication requires.

How is Zircca different from other dental lab software?

The case starts with the dentist, not with the lab. The dentist requests the work from their own account, with the tooth chart and notes already filled in, and that same account works for every lab they deal with. Other programs solve the lab's internal workflow; Zircca also solves the front door, which is where incomplete orders come from.
